  • To pull a Registrant Data report, hover your mouse over the Reports tab in the top menu bar

  • Select Exporter from the dropdown

  • Select the Registrant Data report

  • Search for your page name(s) and select the page(s), or simply select the page(s) if you can see them

  • To move fields to a new column on the report, select the field you want to move, and select the Up or Down arrows respectively

Pro Tip: To select multiple pages or fields at once, hold down the command or control button on your keyboard while making your selections. To select all pages or fields, hold the command or control button and the A button on your keyboard.

  • Select the Statuses you want to include. By default, the Registrant Data report will include the Completed, Pending Final Payment, Pending Offline Payment, Pending Transfer, Waitlisted, Pre-registered, and Canceled statuses

  • Select a date range if desired. If these fields are blank, the report will pull all registrations from the moment your page went live

To filter your report, click Add Another Filter on the right-hand side after selecting your page, and select the specific filtering options. Users can stack multiple filters on their report if desired.

Note: Filtering is only available when a single page is selected. When multiple pages are selected, the filtering option goes away.

Filtering is currently available for the Registration Option, Multiple Choice, and Sessions fields.

Available Fields

Registration Options

The Registration Options field displays the registration option selected by the registrant. This column only appears if your page uses the Registration Options field.

Any Data Collection Fields Added to Your Registration Page

The Registrant Data Report includes all fields that collect information from registrants. This includes fields such as text fields, multiple-choice questions, merchandise selections, session selections, memberships, file uploads, donation fields, and other input fields.

Coupon Code ($ Amount), and Coupon Code (Code)

The Coupon Code fields in the Registrant Data Report show both the specific coupon code applied to a registration and the total discount amount applied to that registrant. This allows you to identify which registrants used a coupon and how much revenue was reduced as a result.

Note: The Registrant Data Report works best when reviewing individual registrations that used a coupon. It shows the exact registrations where a code was applied and the total discount associated with each registration. If you want to see broader coupon data, such as how many times a coupon was used, use the Coupons Report instead.

Purchase Protection

The Purchase Protection field indicates whether the registrant opted in to Purchase Protection for their order. This field appears in the Registrant Data Report if Purchase Protection is enabled on your event page.

Registrant ID

The Registrant ID field displays the unique ID for each registrant in RedPodium. This ID is assigned when the registration is completed and is never reused or duplicated.

Pro Tip: If you're using Group Registration on your registration page, a single purchaser can register multiple registrants in one order. The Registrant ID gives each individual registrant their own unique identifier, making it easy to distinguish between them.

Registrant ($ Amount)

The Registrant ($ Amount) field displays the amount charged for the individual registrant's registration.

Pro Tip: If you're using Group Registration, a single purchaser can register multiple registrants in one order. The Registrant ($ Amount) field displays only the amount associated with that specific registrant, not the total charged for the entire order. To see the total amount paid for all registrants in a Group Registration order, use the Order Total ($ Amount) field instead.

Registrant Status

The Registrant Status field shows the current status of a registration within RedPodium. Possible registration statuses include: Completed, Pending, Abandoned, Pending Offline Payment, Pending Final Payment, Pending Transfer, Transferred, Pre-Registered, and Canceled.

Registration Date

The Registration Date field shows the date the registration was originally submitted in RedPodium. This reflects the initial date when the registrant completed checkout.

Date Completed

The Date Completed field displays the date a registration was approved to attend your event. For many events, this field displays the date and time the registrant originally completed their registration. For events using the Waitlist or Pre-registration features, the Date Completed field displays the date the registrant was added to the event from the waitlist or the date a pre-registration was completed.

Pro Tip: The Date Completed field tracks when a registration is approved to attend your event, not when the registration is fully paid. Registrations submitted using offline payments or payment plans are approved immediately and count towards your event's available inventory, even if they have an outstanding balance. As a result, the Date Completed field displays the submission date and does not update when the remaining balance is paid or when the registration status changes from Pending Final Payment or Pending Offline Payment to Completed.

Page Name

The Page or Event Name column specifies the name of the RedPodium page where the registration took place.

Page ID

The Page ID field displays the unique identifier assigned to your RedPodium event page. Each page in RedPodium has its own Page ID, which remains consistent for that specific event.

Event Start Date

The Event Start Date field displays the registration start date set on your registration page. If no registration start date is set, this field is left blank.

Event End Date

The Event End Date field displays the registration end date set on your registration page. If no registration end date is set, this field is left blank.

Checked In

The Checked In field shows whether a registrant is currently checked into the event.

Pro Tip: The Checked In field in the Registrant Data Report displays a registrant's current check-in status, not their check-in history. For example, if a registrant checks in and is later checked out, the Checked In field will display No.

Checked In Date

The Checked In Date field displays the date and time of a registrant's most recent check-in if they are currently checked in. If the registrant is checked out of the event, this field is blank.

Pro Tip: The Checked In Date field shows the registrant's most recent check-in date and time, not their complete check-in history. If a registrant checks in multiple times, only their latest check-in is displayed.

Order Total ($ Amount)

The Order Total ($ Amount) field displays the total amount charged for the order.

Pro Tip: If you're using Group Registration, a single purchaser can register multiple registrants in one order. The Order ($ Amount) field displays the total amount for the entire order, not the amount associated with an individual registrant. To view the amount charged for a specific registrant, use the Registrant ($ Amount) field instead.

This field is most relevant for nonprofit organizations collecting donations or offering tax-deductible add-ons through their registration page. It helps identify which orders include contributions that may qualify for tax reporting or acknowledgment purposes.

Processing & Fees ($ Amount)

The Processing & Fees field shows the total RedPodium and Webconnex Payments processing fees associated with the order. This field reflects the platform and payment processing fees calculated for the transaction.

This column only populates if you are using Webconnex Payments. If you are using a different payment processor, this field will be blank.

Order ID

The Order ID field displays the unique ID for each order in RedPodium. This ID is assigned when the order is submitted and is never reused or duplicated.

Pro Tip: If you're using Group Registration on your registration page, a single purchaser can register multiple registrants in one order. All registrants in the same group order share the same Order ID.

Order Number

The Order Number is a unique identifier assigned to each order at the time of purchase. No two orders share the same number. This field appears once per order and is commonly used to locate, reference, and manage orders in RedPodium. You can search for an order using the Order Number in both the Registrations tab and the Transactions tab.

Pro Tip: If you're using Group Registration on your registration page, a single purchaser can register multiple registrants in one order. All registrants in the same group order share the same Order Number.

Order Reference

The order reference identifies the order reference for an order. You can search for an order using the Order Reference in both the Registrations tab and the Transactions tab. This field directly correlates with the Order Reference column in the WBX Payments Payouts Report, and can be used to merge the reports together if desired.

Pro Tip: If you're using Group Registration on your registration page, a single purchaser can register multiple registrants in one order. All registrants in the same group order share the same Order Reference.

Note: If your accounting team would like to merge a Payouts Report and an Order Data Report to see a breakdown of all the items that were selected within an order, you can use the Order Reference field to link these reports. You can use a function like VLOOKUP in Excel and Google Sheets to combine these reports using the Order Reference field.

Payout Reference

The Payout ID shows the batch ID assigned to a group of transactions included in a single payout. This ID is made up of the last four digits of the Merchant ID and the payout date. The Payout ID corresponds directly to the "Payout Reference" field in the Webconnex Payments Payout Report.

Total Paid ($ Amount)

The Total Paid field shows the total amount the registrant paid toward the order.

This field reflects the amount successfully collected, including registration costs, fees, add-ons, and any other charges associated with the transaction. If the order was edited after the initial purchase, this field reflects the total amount actually received for the order in its current state.
