Use the Teams Feature to Let Registrants Sign Up as a Group

Add a Teams field to your race page, manage teams, and view team registration data

With the Teams feature in RedPodium, you can allow your registrants to sign up as part of a team for your race. Registrants can either join an existing team or create their own, and you can manage all of your teams and view team data from your dashboard.

In this article, you'll learn how to add a Teams field to your page, what the registrant experience looks like, how to manage your teams, and where to find your team data.

Add a Teams Field to Your Page

  • From the Pages screen, click the pencil icon on the page where you want to enable Teams

  • Scroll down to the section where you want to add the Teams field

  • Click the green plus icon

  • Select Team

  • Customize the Label as desired

  • Toggle the Required field to Yes or No

  • Add a Description if desired

  • Toggle on Allow Password Protection to let team captains require a password for others to join their team

  • Toggle on Limit Team Sizes to limit the number of registrants who can join a single team

Note: When you enable password protection, the team captain sets their own password when they create their team during registration. You won't set this password yourself.

  • Click Advanced Settings if you would like to further customize the field

    • Limit Total # of Teams: Limit the number of teams that can be created on this registration page

    • Cut-Off Date to Create Teams: Add a cutoff day for registrants to create a new team

  • Click Done

  • Click Save Now in the upper-right corner of your page to save your changes. Click Publish to publish these changes to your live page

Note: A cutoff day only stops registrants from creating new teams. Registrants can still join an existing team after the cutoff date has passed.


The Registrant Experience

Once your Teams field is live, registrants will see the option to join or create a team as they complete their registration.

Join a Team

  • On the registration page, registrants select Join a Team

  • They choose a team from the list

  • If the team requires a password, enter it in the Password Required field before continuing

  • After submitting their registration, they'll be added to that team and see their team on their confirmation page and email

Create a Team

  • On the registration page, registrants select Create a Team

  • They enter the team name, name, and email address

  • They enter a password and description, if desired

  • They click Create and Join Team

Note: After creating a new team, the Team Captain will receive a daily email whenever at least one new registrant joins their team.


Manage Your Teams

You can quickly view and manage all of the teams registered for a page when editing the page.

  • From the Pages screen, click the pencil icon on the page you want to view

  • From the top menu bar, select the Teams field

  • View or manage your teams

    • Click the pencil icon to edit a team

    • Click the trash can icon to delete a team

    • Click New Team to create a new team

Pro Tip: For each team, you can see the team name, team captain, password (if enabled), and members.

Note: Creating a team manually is useful if you want to set up teams ahead of time on the back end instead of waiting for a registrant to create one during registration.


View Your Teams Data

You can view your team data in two places, depending on what you're looking for.

  • To see which specific registrants are associated with a team, we recommend pulling a Registrant Data Report. In this report, RedPodium lists every registrant that registers for your event. This report includes a team name that lists the team a registrant is associated with (if applicable).

  • To see a general overview of your teams, we recommend using the Teams Report. This report shows general information about each of your teams, including the page where the team registered, the team name, captain information, password, number of members, the date the team was formed, and the date the team was last updated


FAQs

If I update the team name, how long does it take this new team name to appear on the live page?

Updates to the team name can take up to 24 hours to reflect on your live registration page.
