Use Bib Assignment to Automatically Assign Race Numbers to Registrants

Set up bib assignment rules to automatically give your registrants a bib number or runner number based on registration option or wave time

Written by Maddy

Bib numbers are a core part of race day. They identify your registrants and typically tie into their timing, race stats, and photos. Without a way to assign them inside your page, you'd have to manage bibs manually outside of RedPodium, which adds extra work to your event day prep.

Bib Assignment lets you automatically assign bib numbers to your registrants directly from your page settings. You can build rules that assign a range of numbers to specific groups of registrants, reserve or restrict vanity number ranges, and blacklist numbers you never want assigned. This article covers how to access bib assignment, build your assignment rules, set up vanity bib numbers, and blacklist numbers.

Note: Bib Assignment is currently feature locked. To unlock this feature, message the support team with the chat bubble on the bottom, right corner of this page.

Getting Started

  • From the Pages screen, click the pencil icon on the page you want to edit

  • Hover over the On-Site tab in the top menu bar

  • Select Bib Numbers from the dropdown

  • Click Create Bib Assignment Rules

Build Your Assignment Rules

In RedPodium, you can quickly assign bibs to your registrants. You can filter and order who receives which numbers within that range, and add as many rules as you need.

  • Create your assignment rules

    • Enter a Bib Number Range

    • Add filters, if desired. You can filter by the registration option, age division, wave time, and gender

    • In Order By, choose to sort bib assignments in this range by first name, last name, or wave time in ascending or descending order

    • Add more ranges to assign different bib number ranges to specific groups of registrants, if desired

Pro Tip: Leave all filters blank to quickly assign bib numbers to every registrant.

To organize bib numbers by group, use filters to create separate ranges. For example, you can assign bib numbers 1–100 to 5K registrants and 101–200 to 10K registrants.

Note: Filters will only appear if you have that field on your registration page and you have at least one registrant who has selected that option on the live page.

  • In Vanity Numbers, choose what bib numbers to allow for your vanity numbers

    • Restrict Vanity Numbers under "Assignment Ranges": Registrants choosing a vanity number can select only numbers within the range defined by their assignment rule

    • Use Specific Range for Vanity Numbers: Registrants choosing a vanity number can select a number within a custom range you define

  • In Blacklisted Numbers, enter any bib numbers you do not want assigned. The system will skip these numbers during bib assignment

  • Click Preview Bib Assignments

  • Preview that your bib assignments look good

  • Click Commit Assignments to assign these bibs to your registrants

Pro Tip: If you are using filters and do not include all registrants in your bib assignment, you will see the error: "X registrant(s) did not match any of the given ranges."

If you see this error, update your filters so all registrants receive a bib assignment.

Manage Your Bib Assignments

After assigning bibs to registrants, you can manage your bib assignments at any time.

Pro Tip: Bib numbers are assigned when you run your assignment rules. Registrants who sign up afterward will not automatically receive a bib number.

If you have new registrants, we recommend re-running your assignment rules to assign numbers to new registrants.

You can also update your bib assignment rules and rerun them to change bib assignments for all registrants.

  • From the Pages screen, click the pencil icon on the page you want to edit

  • Hover over the On-Site tab in the top menu bar

  • Select Bib Numbers from the dropdown

  • Click Update Bib Assignments

  • Update your assignment rules or additional settings if needed

  • Select Preview Bib Assignments

  • Toggle on Overwrite Previous Bib Assignment if you want to regenerate numbers for registrants who are already assigned, then select Regenerate and Preview

  • Review the new assignments

  • Once the assignments look correct, select Commit Assignments

Pro Tip: When Overwrite Previous Bib Assignment is turned off, updating the bib assignments only assigns numbers to new registrants without a current bib assignment. Existing bib assignments remain unchanged.

Note: If no new registrants have signed up since your last assignment, you'll see the message "No registrants matching any of the range conditions, or all registrants have been assigned numbers already."

If you see this message and want to re-assign bib numbers, toggle on Overwrite Previous Bib Assignment.
