Create and schedule a report to email to your inbox on a specific date or on a recurring interval, saving you and your team tons of time

Memorized Reports are a powerful time-saving feature in RedPodium that allow you to configure and save reports for quick access in the future. Instead of recreating the same report each time, you can simply select your saved report and run it instantly.

Do you have associates you'd like to share data with, but don't want to grant them access to your RedPodium account? No problem! Memorized Reports can be scheduled to automatically email you, your accountant, or other team members on a specific date or a recurring basis. You can even set the report to include only new records since the last time it was sent, keeping your data fresh and relevant.

This guide will walk you through how to create, save, and schedule Memorized Reports so you can make the most of this feature.

Get Started

  • From the Pages screen, hover your mouse over Reports in the top menu bar

  • Select Exporter from the dropdown

  • Select the report you would like to create a Memorized Report for (in this example we chose a Registrant Data report)

Create and Customize the Report

  • Search for your page name and select the page, or simply select it if you see it

  • Select the field(s) you would like to export and press the right arrow to move them to the box on the right to be exported. To move fields out of the export, select the left arrow button

  • To move fields to a new column on the report, select the field you want to move, and select the Up or Down arrows respectively

  • Select any other settings you would like to set up, including status, transaction type, date range, and file type

  • Click the Memorize This Report button


Schedule the Memorized Report

  • Name your Memorized Report. This name is used to differentiate between all of the Memorized Reports in your RedPodium account

  • If you'd like to auto-send your memorized report to an email on a specific date or recurring basis, toggle Auto Schedule Report to Yes

    • If Auto Schedule Report is turned on, set a specific date for your report to send, or set a recurring schedule. A memorized report can be sent on a daily, weekly (on Mondays or Fridays), Bi monthly (1st and 15th of the month) or Monthly (on the 1st of each month) schedule

    • Enter the email address you would like this memorized report to be sent to. NOTE: You can list multiple email addresses here by separating them with a comma

    • If you would only like to see records that have occurred since the last report was sent, toggle the Only Send New Records option to Yes. If you would like to receive every order on your Memorized Reports, keep this option off

  • Click Save Report

NOTE: The email will contain a link to download the memorized report. The link will expire after 72 hours.


Edit the Memorized Report

Users can update both the settings and selected fields in a Memorized Report. This guide will show you how to edit these options in RedPodium.

Update the Memorized Report Settings

Memorized Report settings include the report name, scheduled send date or frequency, and the recipient email addresses. Users with Report and Export permissions can update these at any time.

  • From the Pages screen, hover your mouse over Reports

  • Select Exporter from the dropdown

  • Select the correct report type (in this example we chose a Registrant Data report)

  • Click Load Memorized Reports

  • Select the correct memorized report from the dropdown list

  • Click the pencil icon next to the Memorized Report

  • Adjust your settings

  • Click Save Report

Update the Fields on a Memorized Report

  • From the Pages screen, hover your mouse over Reports

  • Select Exporter from the dropdown

  • Select the correct report type (in this example we chose a Registrant Data report)

  • Click Load Memorized Reports

  • Select the correct memorized report from the dropdown list

  • Adjust the fields on your report as desired

  • Click Update Memorized Report, or click Save as a New Memorized Report

  • With either option, you can also choose to update the Memorized Report name, auto-schedule frequencies, and emails


Delete the Memorized Report

  • From the Pages screen, hover your mouse over Reports

  • Select Exporter from the dropdown

  • Select the correct report type (in this example we chose a Registrant Data report)

  • Click Load Memorized Reports

  • Select the correct memorized report from the dropdown list

  • Click the trash can icon next to the memorized report you'd like to delete

  • Click Yes, Delete It to confirm your decision


FAQs

Why didn't I receive my memorized report?

If you didn't receive a memorized report, we recommend checking the following:

  • Confirm the email it was set to send to was typed correctly and that it didn't land in your junk/spam inbox

  • If you listed multiple email addresses to receive the memorized report, make sure there are not any spaces before or after the email addresses.

  • Make sure the report is sending data for an active page, especially if the option for only new records is selected.

  • If the memorized report was edited within 8 hours of the time it sends, the system will skip sending it the first time. This is because reports are sent in batches. But no worries! It will send the next round.

  • If you have the memorized report set to only send for new orders, double check that you received new orders since the last time you received a report. If you have not received any new orders, the report will not send, as it will only send if new orders been received.

When my memorized report is set to auto-schedule, what time will the system send the report?

Memorized reports are automatically sent at 4PM on the scheduled send date.
